WIP Processing Guide

This guide will teach you how to upload WIPs, validate extractions, and export the data to a template.

What you’ll do

  1. Upload and select the correct WIP pages.

  2. Run extraction for Contracts in Progress/Completed.

  3. Validate project row mappings and metric tags.

  4. Resolve duplicates (dup) and tie-out issues.

  5. Export clean, audit-ready output.

Before you begin

  • WIP is complete and readable.

  • All contracts in progress and contracts completed pages included.

  • File format is PDF or Excel.

  • Language is English or French.

  • Report date is visible.

  • Files are not password protected.

Step 1: File upload

  1. Go to All files.

  2. Upload the WIP file by clicking +Add file or Drag & Drop directly on the page.

By default, you’ll be filtered to only the files you upload. Remove the filter to see all files from all members in your workspace.

Step 2: Select WIP pages

  1. In page selection, include only pages with WIP project tables:

    • Contracts in Progress

    • Contracts Completed

  2. Exclude cover pages, narrative-only pages, and other report pages.

  3. Rotate WIP pages to correct orientation (if needed). 

    • To rotate, select the rotate left icon or rotate right icon in the file toolbar.

  4. Merge WIP pages with vertical breaks (if needed). Typically this action is required on large contract in progress tables that contain too many columns to fit on a single page. 

    • To merge, right click the bottom page and select combine horizontally with page above.

  5. Click Run.

Step 3: Review extracted output by tab

Boom will create a separate tab for each extracted report. For example, if you process a financial reporting package with one contracts completed report and one contracts in progress report from the same file, you’ll need to review two tabs of data.

If you process two contracts completed reports and two contracts in progress reports from the same file, you’ll need to review four tabs of data.

Step 4: Verify date

Verify the date was extracted correctly from the document.

To add or change the date:

  • Triple click the date selector.

  • Press delete.

  • Enter the report date using the mm/dd/yyyy format.

Step 5: Validate project ID mapping

For each row, ensure the project names and IDs clearly represent a unique project.

If you see a   dup  tag on the Mapped Project ID, the system detects a duplicate project and it should potentially be removed if the project has similar financial values.

To remove a project, right click and select Archive.

To restore, an archived right click and select Restore.

Note: The system might detect a false-positive  dup  if two unique projects have similar names or IDs. In that case, you can edit the project names or create a new project in the Boom system via the dropdown menu.

Step 6: Validate metric mapping (metic name + metric period)

Each contractor formats their Work in Progress (WIP) reports differently. For instance, one contractor might use "Contract Price" while another uses "Contract Value" for the same concept.

Boom standardizes this data by mapping each contractor's column labels to Boom's standard terminology. For example:

Contractor A's "Contract Price" → Boom's "Contract Price"
Contractor B's "Contract Value" → Boom's "Contract Price"

This mapping process uses AI to automatically identify and link similar concepts. However, since the AI may occasionally mislabel columns while extracting data from WIPs, we recommend familiarizing yourself with Boom's data classification system so you can spot and correct any errors. If you see a red flag, it means the AI has low confidence in the assigned classification. Note: We recommend checking each column header regardless if there's a flag or not.

There are two data labeling concepts that should be verified on a contractor WIP extraction:

  • The Metric Name - what is being measured

  • The Metric Period - when it was measured

For each column, ensure the Metric Names and the Metric Period are correctly assigned to the WIP. 

To verify all required columns have been assigned, hover over the export button located at the top right of the page. 

  • A green check indicates all required WIP data has been identified. 

  • A red warning indicates one or more required columns of data is missing. The system will tell you which ones are missing. 

To modify the label, double click the dropdown and all labeling options will display.  Select the correct label, and repeat for every column header. Note: Even if a column is gray, it's still recommended to check the header label.

If you see a   dup  tag on the column, the system detects a duplicate combination of a metric name and metric period. Each column on the WIP must have a unique combination of a metric name and metric period. 

If you don’t need a column with a   dup  tag, you can archive it:

  • To archive a column, right click the column header and select Archive.

  • To restore a column that you archived, right click the column header and select Restore.

Step 7: Validate totals and tie-outs

To verify numerical data was extracted correctly, Boom uses a variance check. The sum of each of the individual project values in a column are compared to the extracted total in each column. If there's a variance, it's an indication there was a) an extraction error or b) a contractor accounting error in the column of data.

Scan through the column and compare the extracted values to the values on the source file.

For any value on the table that doesn't match the source file, you'll need to modify it. Double click the cell and type in the correct value.

When the value of a cell is modified, Boom records that there was a change. 

To view the audit history, right click the cell, then select Show activity.

Step 8: Export

Minimum checks before export:

  1. Major column totals tie to source schedule totals/subtotals.

  2. No missing projects due to page omission.

  3. No unresolved duplicate flags.

  4. Confirm report date.

  5. Confirm both tabs reviewed (if present).

  6. Confirm mapping, duplicates, and tie-outs passed.

Click Export. select "Download Combined contracts in progress and contracts completed data from this report date," then Download.

Document failures

If a document fails to process, archive the file and re-upload.

  • Select the file using the checkmark to the left.

  • Click the trashcan icon, then Archive.

  • Re-upload the file.

Missing column

If the system missed a full column during the extraction, add the column and rerun the extraction.

  • Adjacent to the column where there system missed a column, right click and select insert column left or insert column right.

  • Select the correct metric name and metric period.

  • Enter the column header titles from the source file. Hint: double click the cell to add the value.

Click Rerun Extraction.
